Job description

The Fleet Asset & Utilization Manager is responsible for maximizing the visibility, availability, productivity, and utilization of BEST’s fleet assets, including tractors, trailers, rental equipment, and supporting fleet equipment.

 This position serves as the central point of coordination between Operations, Maintenance, Safety, and senior leadership. This person will maintain accurate fleet data, monitor utilization and equipment performance, identify underutilized or inactive assets, and provide actionable information to improve fleet productivity and return on investment.

 The ideal candidate combines strong analytical skills with practical trucking and equipment knowledge and is naturally curious about where equipment is, what it is doing, whether it is producing, and how BEST can maximize its value.

Primary Responsibilities

Fleet Asset Management & Utilization

  • Maintain accurate visibility of fleet assets, including location, assignment, availability, utilization, and operational status.

  • Monitor key performance metrics including revenue per tractor/trailer, utilization, idle and dormant equipment, downtime, unassigned tractors, driver/equipment assignments, and rental utilization.

  • Identify idle, underutilized, unassigned, or non-producing equipment and recommend opportunities for redeployment or reassignment.

  • Develop and maintain fleet scorecards and reporting for Operations and senior leadership.

  • Partner with Operations to improve equipment productivity and identify trends impacting fleet performance.

Maintenance & Equipment Availability

  • Maintain visibility of tractors and trailers that are out of service and coordinate with Maintenance regarding repair status and anticipated return-to-service dates.

  • Track equipment downtime and identify units experiencing excessive or recurring maintenance issues.

  • Communicate equipment availability and expected return dates to Operations, Recruiting, and other impacted departments.

  • Help prioritize equipment needs based on operational requirements, driver staffing, and business demand.

Driver & Equipment Readiness

  • Maintain visibility of available and unassigned tractors to support driver onboarding and staffing needs.

  • Coordinate with Operations, Recruiting, Safety, and Maintenance to ensure equipment is clean, inspected, prepared, and road-ready for newly hired drivers.

  • Coordinate the recovery, preparation, and reassignment of equipment following driver turnover.

Equipment Lifecycle & Rentals

  • Track new equipment from purchase and delivery through inspection, preparation, and deployment.

  • Maintain documentation for equipment that is purchased, reassigned, retired, sold, or removed from active service.

  • Provide utilization and performance data to support equipment purchasing, replacement, and disposition decisions.

  • Manage visibility of rental tractors and trailers, including assignments, costs, utilization, and expected return dates.

  • Identify opportunities to reduce rental expense through improved utilization of company-owned equipment.

 

Dedicated Equipment & Data Integrity

  • Maintain accurate records of tractors and trailers assigned to dedicated customers and specific accounts.

  • Reconcile equipment information across operational, fleet, and financial systems and resolve discrepancies.

  • Maintain accurate fleet information within systems including McLeod, Dossier, Pedigree/Motive, and related platforms.

  • Develop and maintain Excel-based reports, dashboards, and tracking tools to support fleet management and decision-making.

  • Establish accountability and processes that ensure fleet information remains timely and accurate

Job requirements

Required Knowledge, Skills & Abilities

• Strong understanding of trucking operations, fleet utilization, and asset management.

• Working knowledge of Class 8 tractors, commercial trailers, and related fleet equipment.

• General understanding of preventive maintenance, repairs, and equipment downtime.

• Strong analytical and problem-solving skills with the ability to turn data into actionable recommendations.

• Advanced Microsoft Excel skills, including formulas, pivot tables, data reconciliation, and reporting.

• Ability to work effectively across multiple transportation and fleet management systems.

• Strong organizational skills and attention to detail.

• Excellent written and verbal communication skills.

• Ability to coordinate effectively with all business units, support times, and communicate issues and recommendations effectively to those teams and executive audiences

• Ability to manage competing priorities in a fast-paced transportation environment.

• Willingness to investigate discrepancies, identify root causes, and drive solutions rather than simply report problems.
