Position Summary

The Strategic Maintenance Manager is responsible for developing, implementing, and improving maintenance programs, systems, and processes that maximize equipment uptime, enhance safety, control maintenance costs, and extend asset life. This role serves as a key liaison between Maintenance, Operations, Parts, and Leadership Teams to ensure fleet assets are operating at peak performance.

Key Responsibilities

Maintenance Systems & Data Management

  • Serve as the primary administrator for fleet maintenance software and KPI tracking systems.

  • Ensure the accuracy and integrity of maintenance data, including labor hours, fault codes, parts usage, and repair documentation.

  • Develop and maintain reports, dashboards, and performance metrics that provide actionable insights for leadership.

  • Analyze maintenance trends and recommend operational improvements that drive efficiency and reduce costs.

Reliability Engineering & Performance Improvement

  • Monitor fleet performance data to identify recurring failures, reliability concerns, and component life-cycle trends.

  • Conduct root cause and failure analyses to determine long-term corrective actions.

  • Implement reliability-focused initiatives that reduce unplanned downtime and improve asset utilization.

  • Evaluate emerging maintenance technologies, lubricants, components, and equipment solutions to enhance fleet performance and safety.

Preventive Maintenance Strategy & Standardization

  • Develop and continuously improve preventive maintenance schedules, inspection procedures, and service intervals.

  • Partner with maintenance leadership to create and maintain standardized operating procedures across all maintenance locations.

  • Ensure consistency in maintenance quality, repair practices, and diagnostic processes.

  • Coordinate maintenance planning with operational departments to maximize equipment availability and minimize disruptions.

Vendor Management & Strategic Sourcing

  • Evaluate vendors, service providers, and parts suppliers based on quality, responsiveness, cost effectiveness, and overall performance.

  • Collaborate with the Parts Department to optimize inventory levels and support predictive maintenance initiatives.

  • Co-manage warranty recovery efforts to maximize eligible reimbursements from manufacturers.

  • Support strategic sourcing initiatives that improve service quality while reducing maintenance expenditures.

Training & Workforce Development

  • Identify technical skill gaps through maintenance performance data and technician evaluations.

  • Coordinate training programs, certifications, equipment-specific instruction, and safety initiatives.

  • Support the development of maintenance leaders, shop foremen, and technicians.

  • Prepare maintenance teams for emerging technologies, advanced vehicle systems, and future fleet innovations.

Key Performance Indicators

Success in this role will be measured through:

  • Preventive Maintenance Compliance of 95% or greater

  • Improved fleet reliability and equipment uptime

  • Reduced unplanned maintenance events

  • Maintenance spend maintained within budgetary guidelines

  • Increased warranty recovery dollars

  • Higher planned-to-reactive maintenance ratios

  • Enhanced technician productivity and operational efficiency

Qualifications

  • Bachelor's degree in Engineering, Fleet Management, Business Administration, or related field preferred.

  • Minimum of 5 years of fleet maintenance, reliability, asset management, or maintenance planning experience.

  • Strong knowledge of CMMS and fleet maintenance management systems.

  • Experience with KPI reporting, data analytics, and performance management.

  • Understanding of preventive maintenance programs, reliability principles, and root cause analysis methodologies.

  • Excellent communication, leadership, project management, and organizational skills.

  • Ability to influence cross-functional teams and drive continuous improvement initiatives.

Job requirements

Experience: Minimum 5–7 years of experience in fleet maintenance operations, with at least 3 years in a data-driven, or supervisory capacity.

• Technical Skills: Expert-level proficiency in data analysis tools (such as Excel, Power BI, or Tableau). Proficient and well versed in tools for maintenance cost tracking software (such as Dossier, TMT, Maximo, Cetaris etc.).

• Core Competencies: Strong analytical thinking, excellent cross-functional communication skills, project management experience, and a deep understanding of heavy-duty vehicle systems or equipment mechanics.
